Litigation Administrative Assistant (Commercial Business Defense)

Location: Downtown San Diego, CA
Schedule: Full-Time | 40 hours/week (8:30 AM - 5:00 PM, 30-minute lunch)
Compensation: $70,000 - $95,000 annually + benefits

Key Responsibilities

  • Provide comprehensive administrative and litigation support to attorneys and paralegals across all phases of litigation
  • Manage complex attorney calendars, schedule meetings, depositions, mediations, and court appearances
  • Prepare, revise, and finalize correspondence, pleadings, and legal documents
  • Perform electronic filing (e-filing) in State and Federal courts
  • Coordinate travel arrangements and process monthly expense reports
  • Assist with trial preparation, including organizing exhibits and supporting attorneys during trial as needed
  • Communicate professionally with clients, courts, and outside counsel
  • Conduct conflict checks and assist with opening new client and matter engagements
  • Maintain and organize electronic files and document management systems
  • Support billing processes, including time entry, invoicing, and client billing setup
  • Update and maintain client and contact databases
  • Handle additional administrative and clerical tasks as assigned

Qualifications

  • Minimum 4+ years of recent litigation experience in a law firm environment
  • Strong State and Federal e-filing experience (required)
  • Experience supporting attorneys in commercial business defense and civil litigation
  • Demonstrated ability to manage multiple deadlines and shifting priorities
  • Excellent writing, editing, and communication skills
  • High level of professionalism and attention to detail
  • Strong organizational and time management abilities
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Experience with document management systems, docketing systems, and billing/time entry software preferred
